Accessing the RVU Policy Repository

The RVU Policy Repository is a unique, restricted collection within Elevate. Access to the collection is restricted to users who are connected to the campus network or have created an account using their RVU email address.

Individuals without an RVU email address should email Elevate to request an account be created for them to access policies.

Defining Roles

Elevate: The Department of Library Services manages Elevate. Please get in touch with us if you have questions about self-archiving materials that are not policies.

RVU Policy Repository: A unique collection within Elevate that only houses active and inactive policies. The collection is administered and organized by the Office of Institutional Effectiveness, with assistance from the Library. Please contact us with questions about the collection or with suggestions for future improvements. The Office of Institutional Effectiveness and the Library meet regularly to discuss improvements and changes to the collection. 

Access & Communication

Upon approval, all University, Campus, Program, Department, and Clinic Policies will be posted to RVU’s electronic policy repository, where they will be accessible to all employees and students. When required by accreditors or law, policies will be posted to the RVU public website.

Policy updates will be communicated quarterly by the Office of Compliance.

Campus Users: Students, Faculty, and Staff who are connected to the network on their campus can search the RVU Policy Repository without needing an account.  If you are not connected to the network, then the collection and associated files will be hidden. 

Off-Campus Users: Students, Faculty, and Staff who are not connected to the network will not be able to view the RVU Policy Repository unless they create an account using their RVU email address.

Revising Policies

Policy creation and revision must always adhere to "Policies on Policies" and go through the proper departments/offices. Individuals who want to search for policies that need to be revised can use a simple string to find relevant policies. 

046: The unique code that represents "revision dates" in the system.  
Year(s): "2022." 
OR: An expander that indicates to the system that you want your search to contain everything in the string.
Example Search Query046: ("2018" OR "2019" OR "2020" OR "2021" OR "2022")
-Try the search for yourself by copying and pasting everything in white from the example search query above. 
Be sure to add the quotation marks and parentheses to your search.
Explaining the String: The search query is requesting that the system only returns results for policies that we last revised between 2018 - 2022.

 

269: The unique code that represents "creation dates" in the system.
OR: An expander that indicates to the system that you want your search to contain everything in the string.
Example String269: ("2017" OR "2018" OR "2019" OR "2020" OR "2021" OR "2022")

Explaining the String: The search query is requesting that the system only returns results for policies that we created between 2017 - 2022.

 

269 & 046: Combine different codes to create more robust search queries. 
OR: An expander that indicates to the system that you want your search to contain everything in the string.

NOT: A limiter that indicates to the system that you do not want search to contain certain information.

Explaining the String: The search query is requesting that the system return results for policies that were created between 2017 - 2022 OR revised between 2018-2022, but not revised from 2023-25. 

 

Permissions

Materials preserved in the RVU Policy Repository are proprietary and strictly confidential. Materials may not be reproduced or distributed without the written consent of RVU Leadership. 

Creating an Account

Accounts are only required if you want to view policies from off campus, need to use the submission form to submit a policy for review, or create an author profile.

Steps:

  1. Click “login” in the top right corner of Elevate.
  2. Click “Create account.”
  3. Register for an account using your RVU email address. 
  4. A confirmation email will be sent to your email. 
  5. Once logged into Elevate, you will be able to view the “RVU Policy Repository.”

Report a Mistake

Mistakes in the metadata (located under the "Details" section) of each policy may occur and are easily corrected. Please email us to report an issue that needs to be fixed. In your email, please provide:
