Accessing the RVU Policy Repository

The RVU Policy Repository is a unique, restricted collection within Elevate. Access to the collection is restricted to users who are connected to the campus network or have created an account using their RVU email address.

Individuals without an RVU email address should email Elevate to request an account be created for them to access policies. 

Collections

Policies are preserved in two unique and separate collections. 

  1. The "RVU Policy Repository" contains all active policies. 
  2. The "RVU Policy Repository - Inactive" contains all inactive policies.

Defining Roles

Elevate: The Department of Library Services manages Elevate. Please get in touch with us if you have questions about self-archiving materials that are not policies.

RVU Policy Repository: A unique collection within Elevate that only houses active and inactive policies. The collection is administered and organized by the Office of Institutional Effectiveness, with assistance from the Library. Please contact us with questions about the collection or with suggestions for future improvements. The Office of Institutional Effectiveness and the Library meet regularly to discuss improvements and changes to the collection. 

Access & Communication

Upon approval, all University, Campus, Program, Department, and Clinic Policies will be posted to RVU’s electronic policy repository, where they will be accessible to all employees and students. When required by accreditors or law, policies will be posted to the RVU public website.

Policy updates will be communicated quarterly by the Office of Compliance.

Campus Users: Students, Faculty, and Staff who are connected to the network on their campus can search the RVU Policy Repository without needing an account.  If you are not connected to the network, then the collection and associated files will be hidden. 

Off-Campus Users: Students, Faculty, and Staff who are not connected to the network will not be able to view the RVU Policy Repository unless they create an account using their RVU email address.

Creating an Account

Accounts are only required if you want to view policies from off campus, need to use the submission form to submit a policy for review, or create an author profile.

Steps:

  1. Click “login” in the top right corner of Elevate.
  2. Click “Create account.”
  3. Register for an account using your RVU email address. 
  4. A confirmation email will be sent to your email. 
  5. Once logged into Elevate, you will be able to view the “RVU Policy Repository.”

Policy Subjects

Policies are sorted into five collections within the RVU Policy Repository collection:

  1. University Policies. Policies that pertain to RVU employees and/or students at large or in more than one college/program or administrative department will be promulgated as a University Policy.
  2. Campus Policies. Policies only adhered to by employees and/or students at a specific campus or location (as defined by the Higher Learning Commission) will be promulgated as a Campus Policy.
  3. Program Policies. Policies that only pertain to employees and/or students of a specific RVU academic program will be promulgated as a Program Policy.
  4. Department Policies. Policies that only pertain to employees and/or students of a single RVU department (including academic departments such as PCM, operational departments such as Finance, and administrative departments such as Inclusive Excellence) will be promulgated as a Department Policy.
  5. Clinic Policies. Policies applicable to individuals participating in RVU clinics will be promulgated as a Clinic Policy.

Revising Policies

Policy creation and revision must always adhere to the "Policies on Policies" framework and be reviewed by the proper departments/offices. Individuals who want to search for policies that need revision can use a simple string to find relevant policies. 

Input the search string 590: Year (e.g., 590: 2026) in the active policy repository to find policies that need to be revised in 2026.

Removing Policies

Inactive Policies are deleted every seven years from the date the policy was inactivated. The "RVU Policy Repository - Inactive" can be located by clicking "Browse Collections" from the homepage of Elevate.

Input the search string 583:Year (e.g., 583:2025) in the inactive policy repository to find policies that need to be removed. 

Location Searching

Users can use the filters on the left side of the results page to sort by campus location. By clicking "Colorado," the system will return policies that apply to all three campuses and policies that only apply to Colorado. The reason the filter returns results in this manner is that some policies have been tagged as only applying to Colorado, and some policies (e.g., University Policies) are tagged as applying to Colorado, Montana, and Utah.  If users want to search for policies that only apply to one campus or two campuses, then use the search strings below.

Materials preserved in the RVU Policy Repository are proprietary and strictly confidential. Materials may not be reproduced or distributed without the written consent of RVU Leadership.
